Types of Area Group

Affiliated and Recognised Groups

The 009 Society has always encouraged local groups; historically these would have been solely composed of members of the Society. However, as time has gone on some groups have included non-members with the groups having their own financial and organisational structures separate from the 009 Society. The Society has no view either way on this issue; the only distinction is that only 009 Society members can attend meetings of the 009 Society committee.

Each local group is free to decide how it is linked to the Society and is encouraged to use the method that best suits the local group. The two groups follow different regulations as listed below. Groups are asked to update the secretary on the status of their group and their primary contact.

1. Affiliated Groups: These are groups that are formally constituted as part of the 009 Society. Their membership shall consist solely of 009 Society members and they will be required to submit their annual accounts to the Society Treasurer and follow the Society's governance on the protection of vulnerable groups. They are welcome to call on Society support (including Sales support and publicity) for members' days and are welcome to send a representative to meetings of the 009 Society Committee.

2. Recognised Groups: These are groups that are not formally constituted as part of the 009 Society, although the Society recognises and supports their activities. To be of 'Recognised' status, membership of the group must have a minimum of three 009 Society members. There is no requirement to either submit accounts or follow the Society's governance on the protection of vulnerable groups (although they are welcome to follow the Society's policy). They are welcome to call on Society support (including Sales support and publicity) for members' days and are welcome to send a representative to meetings of the 009 Society Committee providing that representative is a member of the 009 Society.

Society's Governance on the Protection of Vulnerable Groups

Vulnerable Groups

There has been a lot of discussion and concern in regards to vulnerable groups which for 009 Society purposes is mainly related to those under the age of 16. There has been a lot of concern over the need for CRB checking etc and so the Society policy has been drafted on the matter. The policy states we do not have any CRB checking of our members and as such minors attend at the parent/guardians risk. As such we have some forms that parents/guardians should complete to confirm that they understand the policy we have in place.

Similar documentation is also available for those involved in exhibitions as an exhibitor/marshal or any other person working/participating in the exhibition/open day but does not include visitors. Visitors enter the event at their own risk. The open day/exhibition insurance should be in place to cover any public liability occurrences and exhibition managers should check the policy documentation for any stipulations the insurance company places on the exhibition.

Affiliated groups MUST follow all Society vulnerable group policies. Recognised groups are advised to follow the policies.

Non 009 Society groups are welcome to follow 009 Society guidelines and are welcome to download and alter documentation for their own usage. However the 009 Society takes no responsibility for the accuracy/legality of any documentation downloaded.
